Request everything on paper.
To Chocolate, you did the best you can do.
I believe you forgot one very important thing when you agreed on volunteering for the group:
Have the participants all signed a waiver?
Have they asked you to sign a waiver?
I think this is way more important than the class size/transportation/....etc
